Refining travel policies post-Covid to increase policy compliance

Hotel and Travel Solutions (HTS) has worked with Adler & Allan - which provides consultative advice to help organisations meet Environmental Permitting Regulations (EPR) - since 2017, delivering business travel, accommodation and meetings services.

After March 2020, many companies refined and reinforced their business travel policies to support employees' duty of care. HTS has seen vast growth in compliance from Adler & Allan employees following a relaunch of their travel policy in January 2021. HTS worked with Adler & Allan on the communication, engagement and training of employees to ensure compliance to the new travel policy was met. The increase provides assurances that its employees are travelling safely, staying in Covid-secure venues, and supporting national track and trace efforts.

In 2020, Adler & Allan undertook a large-scale project after a client’s freight train pulling 25 wagons, each containing up to 100,000 litres of diesel, derailed and spilt into the Loughor Estuary near Llanelli, in August.

As Adler & Allan's sole accommodation service provider, HTS perfectly reacts to its emergency requirements, providing 24/7 support. Yet this was a scenario like no other. The recovery project began in October 2020 and is likely to run until the end of February 2021, with HTS sourcing Covid-secure hotels for all employees involved.

To date, HTS has booked more than 3,660 bed nights through the duration of the project, and where possible, HTS has been helping project managers and employees with their complex and ever-changing schedule as well as more basic support. For example, pre-order food as many hotels are currently providing limited service during the latest lockdown period.

Juliet Wedderburn, Business Development Director for HTS, commented on the recent project: "We provide all-round service delivery for Adler & Allan, and since the start of the pandemic the requirement for accommodation has stepped up a level. Our team's product knowledge has been key during this ever-changing environment. Our team remains fully informed of all Covid-secure hotels and their policies to ensure we're adhering to the travel policy."

Shaun Milner, Head of Procurement from Adler & Allan, shares the importance of using HTS: “Employee welfare has always been a high priority for us at Adler & Allan as many of our workers are often on the frontline at disaster recovery sites and therefore there has always been a focus on our travel compliancy. The pandemic and the limitation of travel and accommodation has led us to further refine our existing travel policy, which HTS has played a pivotal role in helping us relaunch to our employees.

"We know that HTS will be there for us 24/7 with our employee welfare a priority. With this, their knowledge and expertise, demonstrate exceptional value in customer service and one we wouldn’t be without."
